Billing & renewal

Pay-As-You-Go: Billed per session. No ongoing commitment, nothing renews.

Monthly: Continues month to month and renews automatically until you tell us to stop. You can cancel any time with 7 days' notice before your next billing date — just email or text us, and we'll confirm in writing.

Semester (4 months): Paid upfront and does not auto-renew. We'll check in with you before it ends so you can decide what's next.

Cancellation policy

Client: Cancel at least 12 hours before your session and we'll arrange a make-up (limited to 1 make-up credit per month, used within 2 weeks). Cancellations with less than 12 hours' notice, or no-shows, forfeit the session and are billed as normal. A session counts as a no-show if the student has not arrived or joined within 10 minutes of the scheduled start time.

In-House sessions: Also require at least 12 hours' notice. Because these sessions involve travel, a late cancellation or no-show forfeits the session, is billed as normal, and adds a $15 travel fee.

Tutor: If we need to cancel, we'll give at least 6 hours' notice and a make-up session is guaranteed at no charge, scheduled within 2 weeks. In the rare case of a genuine emergency with less than 6 hours' notice, the make-up is still guaranteed at no charge, and your next session is discounted 50% for the inconvenience.

Emergencies (client): Genuine emergencies (illness, accidents) are handled case-by-case — just reach out as soon as you can. This flexibility generally applies up to 2 times within any rolling 4-month period; beyond that, standard notice requirements apply. Emergency exceptions are separate from, and do not use up, your monthly make-up credit.

Repeated disruptions: If a client has 3 or more late cancellations or no-shows within any rolling 2-month period, Mayo Tutors reserves the right to suspend the make-up session benefit, require payment in advance of scheduling further sessions, or discontinue the tutoring arrangement with 2 weeks' written notice. If the arrangement is discontinued, any prepaid balance is refunded as follows: for Monthly, the current month is charged as normal and any months paid beyond it are refunded in full; for Semester, sessions already delivered are charged at the standard, non-discounted rate, and the remaining balance is refunded in full.

Extended sessions

Want more than the scheduled hour? Additional time is billed at your current per-session rate, prorated to the nearest 15 minutes. Please request it at least 24 hours before your session so we can confirm scheduling and payment ahead of time — extensions can't always be accommodated same-day.

Semester package policy

Refunds: If you need to stop mid-semester, the months you've already completed are charged at the standard, non-discounted monthly rate, and the entire remaining balance is refunded to you. The semester discount applies only to a semester carried through to completion.

Pausing: One pause of up to 2 weeks is allowed per semester for illness, travel, or school breaks. Paused sessions are made up by extending the semester's end date by the length of the pause — no sessions are lost, and nothing gets doubled up to squeeze them back in early.

Switching formats: You can switch between In-Person (Library), Virtual (Zoom), and In-House mid-semester. Remaining sessions are billed at the new format's rate going forward, including the In-House travel premium where it applies — any resulting difference is credited or invoiced with your next payment.
